Complete Guide: Exam Signature Requirements for All Indian Government Exams 2025

The signature upload is one of the two mandatory document uploads on every Indian government exam registration portal — the other being the photograph. While photograph rejections get more attention, signature rejections are equally common and just as costly, especially when they occur during scrutiny after your written exam results. This comprehensive guide covers everything you need to know about exam signature requirements, how to scan your signature correctly, and how to resize and compress it to portal-ready specifications.

How to Create a Perfect Exam Signature — Step by Step

  1. Materials: Take a clean white A4 sheet (no lines, no borders). Use a medium-tip black ballpoint pen — Reynolds 045 Fine or Cello Gripper 0.5 are ideal. Avoid gel pens (they smear when scanned) and fountain pens (they can bleed on white paper).
  2. Sign in Cursive: Write your natural flowing cursive signature — the same one you use on bank cheques, Aadhaar card applications, and other government documents. The signature must be in a running/connected cursive style. Do NOT print your name in separate block letters.
  3. Placement and Size: Sign in the centre area of the sheet, leaving at least 3cm margins on all sides. Your natural signature is typically 6–9 cm wide and 2–3 cm tall. Do not make it unusually small or large.
  4. Scan at 200 DPI: Use a flatbed scanner at minimum 200 DPI (200 dots per inch) for the best quality. Set the scan mode to Grayscale or Black & White for signature files. Save as JPEG or PNG.
  5. Smartphone Scanning: If no scanner is available, photograph your signature in bright daylight near a window. Hold the phone perfectly flat and level above the paper. Use the rear camera (not selfie camera). Apps like CamScanner or Adobe Scan improve quality for smartphone-photographed signatures.
  6. Upload to Our Tool: Select your exam from the dropdown above, upload your scanned signature, and download the portal-ready JPEG in under 5 seconds.

Signature Do's and Don'ts for Indian Government Exam Portals

✅ Signature DO's

Sign with black ink ballpoint pen
Use clean plain white paper (no lines)
Sign in your natural cursive style
Scan at minimum 200 DPI
Ensure signature is clearly visible
Keep signature consistent across all documents
Use our tool to get exact dimensions & KB
Output JPEG format as required by all portals
❌ Signature DON'Ts

NEVER sign in CAPITAL LETTERS
Don't use coloured ink (red, green, blue)
Don't sign on lined, printed or coloured paper
Don't scan with shadows across the signature
Don't use a pencil or light ink
Don't take a photo at an angle
Don't use a signature stamp or printout
Don't use gel pen (smears when scanned)
⚠️ Critical Warning — Capital Letter Signatures: Every Indian government exam portal — UPSC, SSC, IBPS, SBI, RBI, LIC, Railway, and all State PSCs — explicitly states that signatures in CAPITAL LETTERS will NOT be accepted. Applications with capital letter signatures are rejected at the scrutiny/verification stage, even after clearing the written exam. This has affected lakhs of candidates. Always use your natural cursive handwriting.

Frequently Asked Questions — Exam Signature Resize & Compress Tools

Do all signature resize tools work on this single page without going to another URL?
Yes — every tool is fully functional on this single page at examphotoresize.in/all-exam-sign-resizer. The Universal Exam Signature Selector covers all 200+ exams. The Compress-by-KB chips (5KB to 50KB) open inline panels. The Resize-by-Dimension chips open inline panels. The exam category cards scroll up and pre-select the master tool. No page navigation needed at any point.
What is the standard signature size for most Indian exams?
The standard signature dimension for the vast majority of Indian central government exams — UPSC, SSC, IBPS, SBI, RBI, LIC, Railway RRB, DSSSB, KVS, NVS, EPFO, ESIC, FCI, and most State PSCs — is 140×60 pixels (approximately 3.7cm × 1.6cm) in JPEG format with a file size between 10KB and 20KB. Exceptions include: NABARD/TNPSC (200×80px), UP Police/UPSSSC (100×50px), NEET (300×80px, 4–30KB), JEE Main (140×35px), and Agniveer Army (200×80px, up to 50KB). Our exam selector auto-loads the correct spec for your exam.
Can I use a blue ink pen for exam signatures?
Most exam portals specify black ink, but several SSC notifications mention "black or blue ink." To be safe across all portals, always use a black ink ballpoint pen. Black ink scans with higher contrast on white paper, resulting in a cleaner signature scan that compresses to a smaller file size at the same visual quality. Blue ink is technically accepted by some portals but may appear lighter in the scan and cause quality issues at very small KB targets.
My signature looks very small or faded after resizing to 140×60px. What should I do?
The 140×60 pixel dimension represents the output size for the portal upload — it is displayed on your admit card at approximately 3.7cm × 1.6cm which is the standard size for printed signatures on government documents. The visual quality depends on your source scan: (1) Scan at 200+ DPI on a flatbed scanner for best quality; (2) Ensure good contrast — black ink on clean white paper; (3) Do not sign too lightly; (4) Crop close to the signature before uploading to maximise use of the 140×60 canvas. Our tool fits your signature within the canvas while preserving aspect ratio.
Should I use a scanner or smartphone to scan my exam signature?
A flatbed scanner at 200 DPI gives the best results for exam signatures because: it eliminates all shadows, captures uniform brightness across the entire paper, and produces a perfectly horizontal scan. However, a smartphone can produce acceptable results if: (1) you photograph from directly above (90 degrees, not at an angle), (2) in bright uniform lighting without shadows, (3) using the rear camera, (4) with the phone stabilized or on a flat surface. After photographing, crop tightly around the signature before uploading to our tool.
Is my signature file uploaded to a server when I use this tool?
Never. All processing uses HTML5 Canvas API exclusively inside your browser. Your signature file never reaches any server — there is zero upload, zero storage, no login required, and no third-party data access. EXIF metadata is automatically stripped from every output file. This is especially important for signature files, which are sensitive identification documents. The service is ad-supported to remain completely free for all aspirants.
Can I use the same signature for multiple exam applications?
Yes, the same underlying signature scan can be used across multiple applications — UPSC, SSC, IBPS, SBI, LIC, Railway, and State PSC exams — as long as: (1) your signature has not changed significantly, (2) you resize and compress it separately for each exam's specific dimension and KB requirements. Our Universal Exam Selector handles this: simply select the new exam, upload the same scanned signature file, and download the correctly-sized version for that portal.
What if my signature is rejected even after using this tool?
If the portal still rejects your signature after using our tool, check these additional points: (1) Rename the file from .jpeg to .jpg — some older portals reject the 4-letter .jpeg extension; (2) Clear your browser cache and try uploading again; (3) Ensure you are uploading to the correct slot (signature slot, not photo slot); (4) If the portal shows "invalid format," try opening the downloaded file in MS Paint and saving as JPEG again; (5) Check if the portal requires a minimum file size — if our compressed file is too small, it may have gone below the portal minimum; (6) Contact the exam helpdesk with your application number.
